The Complete Guide on How to Work with Roadmap Planner

Roadmap Planner is an advanced software created to help you craft your strategies in a professional way, track progress, see the big picture, and successfully achieve your goals.

Our manual will help you to easily learn the ropes of strategic planning and management with Roadmap Planner. See below the contents list for convenient navigation through the manual.

Roadmap Planner Structure

The Roadmap Planner app consists of 2 main sections:

  • Documents
  • Teams

The left panel provides an easy navigation between these sections. If you click on , you will get to My Secured Documents window with the list of your personal documents, not available to other users.

Clicking on the icon, you can start creating your team, or, if already created, access the list of your team members and the team documents.

Work with documents in Roadmap Planner

Create documents

To create a document, click New Document either in My Secured Documents window or on the Documents tab of your team.

On the New Document window you need to fill out the following fields:

  • Document Name: Type in the name of your document here.
  • Document Visibility: This option lets you choose, whether the new document will be available to your team owner or to you only.
  • Choose Team: Select a team this document will belong to.
  • Choose Template: You can either build your roadmap from scratch, leaving the Blank document option, or choose any of the customizable roadmap templates available.

Once you complete all the fields, click Create.

Team documents are added to the Documents tab of the relevant team.

Private documents appear in My Secured Documents window, which you can access by clicking on button on top of the left sidebar.

That’s it! You’ve successfully created a document and can now start crafting your strategies. Check out the Document Appearance page that provides a comprehensive overview of the features and tools available for building your roadmaps.

Save documents locally

To save your documents locally, follow the few simple steps below.

  1. Right click on the relevant document.
  2. Proceed to the option Copy to… and click Local Documents.
  3. Select the folder on your device you want to save the document.
  4. Click Save.

All the documents you’ve saved locally are available on the Local Documents tab of My Secured Documents window.

Make personal documents available to other users

If you want to make your personal documents available to your team, you need to copy them first.

  1. Open the My Secured Documents window.
  2. Right click on the relevant document.
  3. Proceed to the option Copy to… and choose the team you want to share the document with. The document will automatically become available to your team owner and you can share it with other team members if required.

Any changes made to the copied document will not affect its original version, which remained on My Secured Documents window.

Delete documents

To delete a document, right click on the relevant document, press Delete and click OK to confirm the deletion.

Work with documents in Roadmap Planner

Create your team

Roadmap Planner Business plan allows you to create teams and work collaboratively on your projects. To create a team, please follow the few simple steps below:

  1. Click on the button on the left.
  2. Enter your team Name and Description.
  3. You can also replace the default logo. For that, just click Change Logo, and load the required file (we support JPG, PNG, and GIF formats).
  4. Once completed, click Create.
  5. The icon of your team will appear on the left sidebar. Click on it to manage your team and your team’s documents.

Add members to your team

  1. Click on your team icon on the left sidebar and navigate to the Members tab.
  2. On the Members tab, click on the Add Member button on the right.
  3. Enter the new member’s email and press Return. Repeat this step if you need to invite several members. You can also invite members from your contacts, by clicking on button. When adding members from contacts for the first time, please make sure to grant app permissions to access your Contacts. Note: Only members with email addresses can be added from contacts. The list of members you are going to invite will appear below the email field. If you need to remove any of them, just click on button.
  4. Once the list of new members is complete, click Invite. The invited users will receive an email informing they have been added to the team.
  5. You can now see the invited users on the Members tab. Depending on the number of members you’ve added, the Team capacity above the toolbar will change accordingly. The green bar stands for team owner, the blue ones - for each invited member. The blank space which is left implies you can add more users.

Remove members from your team

Method 1

  1. Click on the necessary team member.
  2. Click Remove on the User Info panel that appears on the right.

Method 2

  1. Click on button in front of the user you want to exclude from your team.
  2. Click Remove Note: All works assigned to the deleted user, if any, will become unassigned.

Team management in Roadmap Planner

Share documents with your team

  1. First of all, you need to open the Share Document window. This can be done in 2 ways.
    1. Right click on the relevant document and choose Collaboration.
    2. Open the relevant document and click on the Share button in the toolbar menu.
  2. Type in the email address of the user you want to share the document with and click Invite.
  3. Select the type of access you want to grant this user: Viewer or Editor . Here you can also edit the access rights of other users.
  4. Click OK.

Change access rights to a document

There are 3 ways to change access rights. We’ve covered all of them below.

Method 1

  1. Right click on the relevant document and press Collaboration.
  2. Find the required user and choose the desired type of access.

Method 2

  1. Open the document.
  2. Press Share button in the toolbar.
  3. Find the required user and choose the desired type of access.

Method 3

  1. Proceed to the Members tab.
  2. Click on the required team member to open User Info.
  3. In User Info you can see the list of documents the user has access to. Click on in front of the necessary document.
  4. Proceed to Access and select the desired option: Can view or Can edit.

Assign works to your team members

Roadmap Planner allows to assign works to your team members and track the progress, both of an individual member and of your project as a whole.

Note: Only team owners and team members with editor’s rights are able to assign works.

To assign a work, you need to do the following:

  1. Click on the required work.
  2. On the right panel entitled Work Properties, find Collaboration section and click Assign.
  3. A new window will pop up. Select the required team member from the list or enter his email in the Search field and click Assign. You can also assign works to yourself.
  4. Click OK to confirm the assignment.

If you need to remove an assignment, navigate to Work Properties > Collaboration and click in front of the assigned user.

Track your team progress

To view your team’s progress, proceed to the Members tab of your team. In front of each of the team members you can see the number of overdue and completed works, as well as works in progress.

For more details, click on the required team member to open the User Info panel and navigate to the Work status tab.

You can sort the works you want to be reflected here, choosing one of the following options: All works, Overdue, In progress, or Completed.

The list of works is shown below, with such information as the work name and the document it belongs to. To open the document containing the work in question, click __.

Stay updated with your projects progress! Get day, weekly, monthly reports with Status Notifications function.

That’s it! You can now create teams & documents, and, working collaboratively with your team, achieve your strategic goals together!

How to access your documents via the WEB Viewer

The WEB Viewer feature allows you to view your Roadmap Planner documents on any device via your browser. Follow the few simple steps below to get started:

  1. Launch your browser and open the WEB Viewer.
  2. Sign in using the login and password of your Roadmap Planner account.
  3. You will see your team’s as well as your personal secured documents. Find the document you want to view and click on it. For easy navigation, you can sort your documents by name, date of creation or update.

Currently the WEB Viewer provides the read-only access to your documents. It allows you to view works and milestones properties, check the completion status of works, keeping you on track of your project progress.

Besides viewing your documents, you can add and edit backlog items. To do that, just click on the Backlog button on the top bar of the relevant document.

How to share your Strategy online?

This guide contains a step-by-step instruction on how to instantly send the roadmap link to any number of stakeholders and make your documents easily accessible to the large groups of users with Roadmap URL Share feature.

Here are a few simple steps on how to share your roadmap from the app:

  1. Sign in to the Roadmap Planner app
  2. Choose necessary Document and open it
  3. Press the Links button on the panel
  4. Check the Enable sharing with a link
  5. Press the Copy Link button
  6. Paste the URL wherever you're sharing your link, like on social media or in an email.

To share your roadmap with the WEB Viewer, follow these steps:

  1. Login into your Roadmap Planner account here
  2. Choose necessary Document
  3. Press the Share roadmap button on the left side
  4. Check the Enable sharing with a link
  5. Press the Copy Link button
  6. Paste the URL wherever you're sharing your link, like on social media or in an email.

If you want to stop sharing your document, call Share roadmap and disable it with a checkbox.

Roadmap URL Share feature is available only for Secured and Team documents. If you want to share your Local documents, move them to Team or Secured documents.
